Doctor proceeded with exam despite missing required medical documentation
Business reply on Google
Thank you for sharing your feedback. We understand how frustrating and overwhelming the FAA medical certification process can be, and we appreciate your honesty regarding the missing documentation. We want to take this opportunity to help clarify how the FAA review process works for future applicants. Per federal regulations, once an applicant provides their MedXPress confirmation number to an Aviation Medical Examiner (AME), it legally signals that they are ready and authorized to begin the official medical examination. Once that number is inputted into the system, the exam is officially underway; an AME cannot halt, cancel, or disregard the exam. If the necessary medical documentation isn't present at that time, the AME is required by law to defer the case to the FAA. To prevent potentially lengthy deferrals, the FAA strongly encourages all pilots to 'preflight' their medical exams. Reviewing the FAA's 'Know Before You Go' reference guide before your appointment is the best way to ensure you have all necessary paperwork in hand. If you are ever unsure about your documentation, eligibility, or a specific medical history condition, we highly encourage scheduling an AME Consultation

Brandi, thank you for your feedback. We are sorry that your experience was frustrating and did not meet your expectations. Our practice maintains a 24-hour cancellation policy, which is disclosed during scheduling and applies to all appointments. This is in place to ensure that our providers' time is respected and that we can accommodate clients on our waitlist. While there are occasional circumstances in which a fee may be waived, those situations are exceptions and are evaluated individually. We understand that there was confusion regarding your cancellation request and our efforts to make the appointment time available to other clients. We regret that our communication did not provide the clarity you were looking for and that you felt unsupported during the process. Because we respect our clients’ privacy, we are unable to discuss the specific details of individual appointments in a public forum. However, we have reviewed your concerns internally and appreciate the opportunity to learn from your experience. Thank you for your time, Brandi, and we wish you all the best.

Hello Dr. McIntire, this is Dr. Davenport responding directly (not any automated reply here!). I want to thank you for taking the time to provide your review/feedback. I was optimistic that our phone conversation would have settled your concern, but I respect your option to publicly advertise your frustration. I’m hoping now that prospective clients will see this (it should stand out in the reviews!) and perhaps a similar situation can be averted. *** Dear Prospective Clients: Complete your MedXPress Application with the FAA at MedXPress.FAA.gov before showing up for your appointment with us please!!! *** All applicants should understand they are applying to the FAA and that if they bring us their FAA application, we are authorized to perform the FAA’s exam. But without an application, there is nothing we can do. These are FAA requirements - not those of our office. Though we are providing a service, the responsibility falls upon the applicant to understand what they are doing. This process is repeated every time a new FAA exam is required as per the FARs. We try to help! We’ve placed MedXPress advisories on our web site, on the scheduling site, in the cancellation agreement we sha
